Position Summary:

The Proposal Writer will be responsible for finding, preparing, writing, and coordinating high-quality proposals, tenders, and qualification packages for various construction projects in the ICI sector.  This role requires strong technical writing skills, attention to detail, and the ability to work closely with estimators, project managers, and engineers, subject matter experts to deliver accurate and compelling submissions. The RFP Writer will ensure all proposals are compliant, tailored to client requirements, and submitted on time to support Newton Group’s growth and project acquisition goals.

Qualifications:

  • Post-secondary education in Engineering, Construction Management, Architecture, business management or related field
  • 2–3 years of experience in proposal writing, bid coordination, or project management (construction preferred)
  • Experience in writing proposals both in response to formal RFPs and private owner solicitations is an asset
  • Familiarity with reading and interpreting construction RFPs, drawings, specifications, and schedules
  • Strong attention to detail and commitment to producing accurate, compliant, and compelling proposals
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint); Adobe Acrobat or Bluebeam Revu, Hubspot, experience considered an asset
  • Comfortable using advanced search techniques (like Boolean operators and filters) to quickly find the right information in RFPs, procurement portals, and online resources.
  • Experience using AI tools to review RFP information and support proposal writing is considered an asset. This includes the ability to create custom knowledge-based GPTs (such as ChatGPT) tailored to Newton Group’s needs, with a strong focus on fact-checking and accuracy.
  • Familiarity with procurement and tendering platforms (e.g., Merx, BidsandTenders, Biddingo, SAP Ariba, Bonfire, CanadaBuys)
  • Strong organizational and time management skills to manage multiple priorities and deadlines
  • Excellent verbal and written communication skills
  • Demonstrated ability to work collaboratively with cross-functional teams
  • Self-motivated, adaptable, and eager to learn

Responsibilities:

  • Proactively search bid platforms and the wider internet to identify new opportunities and evaluate their relevance and fit for Newton Group’s capabilities and strategic goals.
  • Review and interpret RFP, RFQ, RFI, tender documents and private owner solicitations to ensure compliance with submission requirements
  • Write, edit, and format high-quality proposal content, including technical narratives, methodologies, and work plans
  • Collaborate with estimators, project managers, engineers, and subject matter experts to gather accurate project details and incorporate them into proposals
  • Maintain an indexed library of company resumes, project sheets, case studies, capability statements, standard submission sections, awards, safety (e.g., COR), insurance, and certificates; keep data current.
  • Coordinate proposal timelines and deliverables to ensure all deadlines are met
  • Assist in the preparation of pre-qualification packages and other marketing materials
  • Organize and manage proposal documentation in both digital and hard copy formats
  • Monitor and manage procurement platforms (Merx, BidsandTenders, Biddingo, SAP Ariba, Bonfire, Ontario Tenders, Jaggaer, CanadaBuys) to track opportunities, maintain logins, and ensure timely submissions.
  • Manage portals, naming conventions, and packaging; file on time with complete appendices; confirm receipt.
  • Support subcontractor outreach during the tender process and assist with bid-related communication
  • Participate in post-submission reviews and debriefs to improve future proposal quality and efficiency

40 hours per week
