Proposal Writer

As a Proposal Writer at Kiwi Newton Group, you’ll play a key role in supporting our growth by developing clear, compelling, and compliant proposal submissions for construction projects across the ICI sector. Working closely with estimators, project managers, engineers, and other subject matter experts, you’ll take ownership of preparing high-quality proposals, tenders, and qualification packages that showcase our capabilities and align with client requirements.
This role is ideal for a detail-driven, highly organized communicator who enjoys technical writing, thrives on deadlines, and takes pride in producing polished, accurate, and persuasive documentation

Position Details:

  • 41 Massey Rd, Guelph, Ontario, Canada, N1H 7M6
  • Monday to Friday, 8am-5pm
  • Full-time, on-site role within our Guelph office

Primary Responsibilities:

  • Proactively search procurement portals and online resources to identify suitable bid opportunities that match Kiwi Newton Group’s strengths and strategic objectives
  • Review, interpret, and summarize RFPs, RFQs, RFIs, tenders, and private solicitations to ensure full compliance with submission requirements
  • Write, edit, and format compelling proposal content including technical narratives, methodologies, work plans, and company information
  • Collaborate with estimators, engineers, project managers, and SMEs to gather accurate project data and integrate it into well-structured proposals
  • Maintain an organized, searchable library of project sheets, resumes, case studies, capability statements, certificates, safety documentation (COR), insurance, and standard proposal sections
  • Coordinate proposal schedules, milestones, and deliverables to ensure all submissions are completed on time and to a high standard
  • Assist with pre-qualification packages, marketing materials, and client-requested documentation
  • Organize proposal artifacts in both digital and physical formats, ensuring version control, naming conventions, and archive accuracy
  • Monitor procurement and tendering platforms (e.g., Merx, BidsandTenders, Biddingo, SAP Ariba, Bonfire, Jaggaer, Ontario Tenders, CanadaBuys) and manage logins, notifications, and deadlines
  • Manage submission packaging—including formatting, appendices, and file structures—and confirm timely receipt
  • Support subcontractor outreach during tender stages and assist with bid-related communication as required
  • Participate in post-submission reviews to identify areas for continuous improvement in proposal quality and efficiency

Required Skills & Qualifications:

  • Post-secondary education in Engineering, Construction Management, Architecture, Business, Communications, or a related field
  • 2–3 years of experience in proposal writing, bid coordination, or project management—preferably within construction or related technical fields
  • Ability to interpret construction drawings, specifications, schedules, and detailed RFP instructions
  • Strong writing skills with exceptional attention to detail, accuracy, and compliance
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint); Adobe Acrobat, Bluebeam Revu, and HubSpot experience considered an asset
  • Comfortable using advanced search methods (Boolean operators, filters) in procurement portals and large documents
  • Experience using AI tools (e.g., ChatGPT) to summarize, analyze, or draft content is an asset—especially creating custom GPTs with a focus on accuracy and fact-checking
  • Familiarity with procurement and tendering platforms such as Merx, BidsandTenders, Biddingo, SAP Ariba, Bonfire, and CanadaBuys
  • Strong organization and time-management skills with the ability to prioritize multiple deadlines.
  • Excellent verbal and written communication skills with a collaborative mindset
  • Self-motivated, adaptable, and eager to learn in a fast-paced environment
